Processing a Pay Run

This article will describe how to create a new Pay Run, modify a Pay Slip and Post your Pay Run. This guide will also demonstrate how to action your Pay Run once you have posted it and are ready to Export to Xero, Print Pay Slips etc.

Navigating to Pay Runs

1. Click Payroll
2. Click Pay Runs

1. Select a Pay Period, or select "Unscheduled" to select any Payroll Calendar or Pay Period
2. Click Next to create the Pay Run

Pay Run Overview

The first thing to notice on the Pay Run screen is the Pay Run Properties Bar, this displays the current Earnings, PAYG, Super and Net Pay totals. These automatically update as you modify Pay Slips for employees.

1. Payment Date can be changed by clicking on the Blue Text Link
2. Pay Slips can be edited by clicking on an employee from the list
3. You can click to add a Payslip Message, which is added to every Pay Slip in the Pay Run
4. You can click here to delete the current Pay Run
5. You can click here to Reset the current Pay Run
6. View Reports will allow you to view reports on the current Pay Run before it is posted
7. Post the Pay run when you have reviewed each Pay Slip and are ready to complete the Pay Run

Editing the Pay Slip

This is the Pay Slip for an employee, this will display and allow you to edit all of the information for this employee's Pay Slip.

1. You can cycle between employees by clicking on the right and left hand arrows

As you scroll down the page you will note that each part of the Pay Slip has been divided into sections for Earnings, Deductions, Tax and Super. Each contains the following elements:

2. Click on the Blue text for each line to Edit the Line Properties (where applicable)
3. Each line will have fields that can be modified as well as a Delete button across to the right hand side
4. Each section will have an Add button that can be used to add additional lines
5. Each section will have a sub total displayed to show you the sum of all lines under any given section

Editing the Pay Slip

Further down the Pay Slip, the same options are applicable in each section, allowing you to Add, Edit and Delete lines within any relevant section.

1. Click Save to Save any changes to the exiting Pay Slip
2. Click Save & Next to Save any changes to the exitisting Pay Slip and cycle along to the next employee
3. Click Close to Close the Pay Slip page and return to the Pay Run (overview) page
4. Click Reset Payslip to reset any changes made to the Pay Slip

Posting the Pay Run

Once you have reviewed and edited all of your employee Pay Slips, selected the relevant employees to be included, set the Payment Date and you are ready to Post the Pay Run, you can click Post Pay Run at the bottom of the screen.

Pay Run Options

1. Once the Pay Run has been posted, you will see a confirmation notice at the top of the screen.
2. Next, you will likley want to action your Pay Run, to do this you can click on Pay Run Options at the bottom of the screen. This will give you options to Download the ABA file, Export the Pay Run to Xero, Email Payslips to Employees or Revert to Draft (unpost the pay run for further editing).

Pay Run Reports

1. You can click on View Reports to review/extract any reporting data relevant to the Pay Run. You will be able to review (in PDF format) Payslips, the Pay Run Summary, Pay Run Details, the Journal and a Bank Payments report.
2. Finally you can hit close to return to the Overview screen which lists all of your historical Pay Runs.
